Responsibilities
- Greet, assist, and/or direct all visitors including customers, newcomers, clients and vendors to host employees.
- Ensure reception area is clean, tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures,etc.)
- Update calendars and schedule/track meetings.
- Top management visits/meetings organization.
- Random Reservations/bookings.
- Incoming & outgoing correspondence.
- Receive, sort and distribute daily mail/deliveries.
- Music scheduling in reception.
- Daily security questions, cooperation with security guards.
- Swiped On system daily maintenance.
- Assit with all Office Request tickets.
- JIRA, ticket monitoring, completing the workflow and re-assigning.
- Document flow for incoming/outgoing mails & cargo (Post Office, International courier services).
- Bio Star fingerprint access system, record fingerprint access, assist during NHO and all access need recorded on data base.
- Assisting other administrative staff with overflow work, including word processing, data entry and research.
- Additional projects based Office Management needs.
- Perform his/her duties in accordance with standards and procedures established by the company.
- Comply to Internal Policy and instructions.
- Perform job obligations in proper, high quality and timely manner.
- Ensure compliance and accuracy of the provided information
- Timely execution of any other reasonable tasks provided by the Direct Manager falling within the held position.
- Replace colleagues during their vacations, sick leaves, other absences, business needs, provided that replacement take place during working time and shall not be considered as additional work.
- Ensure full attendance at trainings and workshops necessary for job assignments according to the development plan and request of the Direct Lead/Manager.
- Be Care for assigned work resources and items.
- Carry out the activities related to person safety.
- Provide the lead/manager proposals for work improvement.
