The Employee Experience Administrator acts as primary point of contact for newly hired employees in order to coordinate the relocation and transportation from the employee’s country of origin to Malta. The EE Administrator arranges all aspects of the international move to ensure high quality service delivery. Within this role, you will interact with several service providers outside the organization – including airline companies, hotels, taxi companies as well as internal stakeholders such as Talent Acquisition, HR and Studio Operation, and to ensure that all relocation activities are performed in accordance with Company guidelines.
- Be the first point of contact for employees once they accept job offer (sending up welcome emails, booking of flights through travel agents, calling new employees a few days before their arrival, supporting them in getting the documents they require and coordinating airport welcome and their first day at work).
- As effective and cost efficient as possible book flight tickets for new joiners relocating to Malta.
- Make sure the newly hired employee is always informed and up to date with recent changes which could affect the relocation.
- Be aware and up to date with current restrictions and regulations in specific markets, that might affect the relocation.
- Support with accommodation attendance and capacity planning – coordinating, cleaning and maintenance duties with Office Management.
- Actively check in with new employees during their start of the employee journey.
- Support the preparation, storage and tracking of on‐boarding kits/welcome box/branded items.
- Negotiate with travel agencies, hotels, airports to provide best service for newcomers.
- Support new employees in matters related to finding and settling in their accommodation & getting around the location in which they reside.
- Together with the Employee Experience team, Security department and Office Management, deal with unexpected matters on a 24/7 and/or with on call situations related to accommodation.
- Constantly improving and refine the relocation and onboarding experience.
- Perform other duties requested by the manager, which are related to this position, and which meet the qualifications.
