We are hiring: Office Team Lead

Job Description

  • Work follows established procedures without discretion, managed by a highly organized multitasker with acute attention to detail and deadlines.
  • Supervise, mentor, train, and coach Office Operations Management (OOM) team staff.
  • Maintains and implements unified policies and procedures for document workflow, different kind of registers and visitor handling.
  • Makes efforts to optimize process workflows efficiently using technology.
  • Maintain the condition of the office and arrange necessary technical repairs via ticketing system, manage performance.
  • Reviews of alternative supplier proposals / applications and unsolicited proposals; Guides supplier/sub-contractor work and monitors performance resolves issues as they arise.
  • Maintain office services by organizing office operations and internal client service.
  • Design, maintain and implement policies and procedures for document workflow, office physical security and visitor handling.
  • Develop and maintain system of Office Management KPIs and performance metrics, analyze the trends and the underlying root-causes to adjust department performance.
  • Is responsible for following the budget figures that are assigned to the location what Office Lead is responsible for and to inform direct manager in advance about the risks not to be in line with budget.
  • Explore and address long-term internal client needs.
  • Work on ad-hoc tasks and projects as necessary.
  • Other job-related duties assigned by Manager.
  • Ability to act as a backup for local Office Management team on leave, vacation, and absences.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies. Seeks out training and on-the- job experiences to foster team members professional development.
  • Perform his/her duties in accordance with standards and procedures established by the company
  • Comply to Internal Policy and instructions
  • Perform job obligations in proper, high quality and timely manner
  • Ensure compliance and accuracy of the provided information
  • Ensure high quality of subordinates’ work
  • Timely execution of any other reasonable tasks provided by the Direct Manager falling within the held position
  • Replace colleagues during their vacations, sick leaves and other absences, provided that replacement take place during working time and shall not be considered as additional work

Qualifications

  • Bachelor’s degree preferred, or equivalent business experience
  • Professional experience at least 3 years in administrative or operations role in a corporate environment
  • People management experience at least a years
